Invite guests
How invitations work for guests, what the invited person sees, and how to follow up, cancel or invite someone again.
People whose e-mail is not on one of your verified domains, such as partners, vendors or consultants, join your organization as guests. Their BreezeAuth account belongs to them, so your organization can’t simply create it: it sends them an invitation, and they decide whether to accept it.
How an invitation works
- You add the userUnder Users › New user, with an e-mail on another domain. The user is created as Pending.
- BreezeAuth sends an e-mailThe person receives an invitation to join your organization, with a link.
- The person signs inWith their existing BreezeAuth account, or by creating one, using the invited e-mail address.
- They acceptThe user becomes Active and can use the applications you give them access to.
To send an invitation, add the user as described in Add a user. There is no separate “invite” button: the form shows that the user will be added as a Guest as soon as you type an e-mail that isn’t on a verified domain.
What the invited person sees
The invitation e-mail contains a link. When the person opens it, BreezeAuth asks them to:
- Sign in to accept the invite, if they already have a BreezeAuth account with that e-mail address, for example because they belong to another organization; or
- Create your account to accept the invite, if they don’t.
They must use the same e-mail address the invitation was sent to. An invitation sent to [email protected] can’t be
accepted by signing in as [email protected].
Invitations are also listed when the person signs in to BreezeAuth: the organization selection screen shows their Pending invitations, each with Accept and Decline. So if the e-mail gets lost, the person only needs to sign in, or create an account, with the invited address.
Invitations don’t expire. They stay valid until the person accepts or declines them, or until you cancel them.
Follow an invitation
On the Manage Users page, filter by Status to see where each invitation stands:
| Status | What happened | What you can do |
|---|---|---|
| Pending | The invitation was sent and the person hasn’t answered yet. | Wait, or remind the person to look for the e-mail or to sign in. |
| Active | The person accepted. | Nothing: they are part of the organization. |
| Invite declined | The person declined. | Invite them again if it was a mistake. |
Invitations sent, accepted and declined are recorded in the Audit Logs.
Cancel an invitation
To withdraw an invitation that hasn’t been accepted yet, delete the user. The invitation link stops working immediately.
Invite someone again
BreezeAuth doesn’t resend invitations, and each e-mail address can be used by only one user in your organization. To send a new invitation, for example after the person declined by mistake:
- Open the user and select Delete, then confirm.
- Add the user again under Users › New user, with the same e-mail address.
The person receives a new invitation e-mail.
Invitations and domain verification
If you verify a domain while some invitations to addresses on that domain are still pending, those invitations are cancelled: the people will be managed by your organization instead of being guests. They appear as Pending review under Users. See What happens to existing accounts.
